Arrival and Registration
On arrival, go to the registration desk in Foyer A to check in and collect your attendee badge, lanyard, and any available conference materials. Have your registration confirmation ready. If you cannot find your confirmation or need help with your registration, speak to the registration team.
Wear your badge throughout the conference, including when accessing tea breaks, snacks, and lunch. Bring it back with you on the second day. If you lose your badge, ask the registration team for help.
Finding Your Way Around
Use the floor plan below to orient yourself after check-in. Open the full-size image to read the room labels, and save a copy on your phone for use without Wi-Fi.
- To get help: find Foyer A, marked in yellow beside the Atrium. Joanne and Cary are usually around Foyer A and the registration and booth areas; ask a volunteer to help locate them.
- To find your session: look for Chamber 3 at the upper left of the plan, or Meeting Rooms 3 and 4 at the lower right beside the Atrium. Match your session's room to the latest published schedule and venue signs before heading there; final room assignments may change.
- Between sessions: use the Atrium and Foyer A as landmarks when moving around the venue. Ask a foyer volunteer or the registration team if you need directions to your next room or the refreshments.
Keep doorways, walkways, and exits clear, especially during breaks and room changes. Follow staff and venue instructions if an announcement or change affects your visit.
Sessions and Q&A
Arrive before the session starts where possible, silence your phone, and keep conversations outside the session rooms. If you enter or leave during a talk, do so quietly to avoid distracting the speaker and other attendees.
During Q&A, follow the room host's instructions and wait for the microphone before speaking. Keep your question brief so others have a chance to participate. If time runs out, continue the conversation after the session in a suitable space outside the room so the next talk can start promptly.
Photography and Recording
Conference photographers will take photos, and sessions are planned to be recorded. The conference uses lanyard colours to show photography preferences:
- Blue lanyard: you consent to having your photo taken.
- Red lanyard: you do not consent to having your photo taken.
Tell the registration team your preference when collecting your lanyard. If you want to change it during the event, ask the team for help.
If you take photos, only photograph attendees wearing blue lanyards. Check the entire frame, including the background, to avoid including anyone wearing a red lanyard. This also applies in the foyer, at the photo backdrop, and during social events.
If you have concerns about session recording or photography, speak to Joanne or Cary before entering a recorded session so they can discuss arrangements with you.
Tea Breaks and Lunch
Wear your badge when accessing the conference tea, snacks, and lunch. Follow volunteers' directions and queue considerately so everyone can be served.
If you have a food allergy or dietary requirement, check with the event team before choosing food. Please help keep the shared spaces tidy and dispose of rubbish in the bins provided.
Networking Reception
Reception entry requires both your PGConf.Asia badge and a reception ticket. Check your booking before attending and have both ready at the entrance. Ask the organizing team if you are unsure whether your booking includes reception admission.
Volunteers will help with reception check-in and distribute drink vouchers. Shuttle bus guides will direct attendees to the pickup location and help organize boarding. Reception timing, venue, and shuttle pickup details are still to be confirmed; check the Attend page and conference communications for updates, or ask the registration team on the day.
Wi-Fi and Personal Belongings
Venue Wi-Fi details are still to be confirmed. Save your registration confirmation, venue directions, and key contact details offline before travelling. Bring a charger or power bank if you need one, and keep your personal belongings with you.
For lost property or other practical help, start with the registration team or ask a volunteer to connect you with Joanne or Cary.
Code of Conduct and Getting Help
Read and follow the conference Code of Conduct. It applies to sessions, sponsor areas, hallway conversations, social events, and online conference spaces. Be respectful, welcome people with different backgrounds and experience levels, and make room for others to join discussions.
For a conduct concern, follow the reporting instructions on the Code of Conduct page. If something urgent happens during the event, ask conference staff or a volunteer to help you reach a committee member. Joanne and Cary can also help you find the appropriate support.
